Kickserv's streamlined workflow is designed to guide your jobs smoothly from start to finish, following a logical left-to-right progression:


Opportunities

Opportunities begin as estimates, moving through various stages until they are approved.

  • Mark an opportunity as won or lost.

Jobs

Jobs are the core of Kickserv - they're the work your technicians complete in the field.

  • You can edit jobs based on their current status: start a job, mark it on hold, mark it complete, convert it back to an estimate, or cancel it.

Invoices

Invoices are generated upon job completion, ensuring you get paid promptly.

  • Mark an invoice as paid or unpaid, in addition to any other job status required.

Top Section Overview

With our updated, consolidated workflow, managing your jobs has never been easier. You now have access to all the key features of any view—whether you're looking at an estimate, an active job, or an invoice. At the top of the new Job page, you'll find a clear overview of each job–including its status in the top left corner, the job’s name and number, along with quick-access buttons like More and Send.


The status dropdown menu allows you to seamlessly navigate through the different stages of your job's lifecycle, keeping everything organized and at your fingertips.


The More button (in the dropdown in the upper right corner) consolidates all additional options related to a job into a single menu, making it easier to find and access various functionalities. Here, you'll find options such as viewing PDF versions of invoices, work orders, and estimates; editing the job details; deleting or duplicating the job; and other actions that are not related to sending or the job's status.


This centralized dropdown ensures you can quickly manage and customize the job without having to navigate through multiple sections.


The Generate Invoice button is designed to streamline your billing process. When you click this button, it performs the same function as in the previous interface. It prompts you with options to either view the generated invoice or send a payment request to your customer. This ensures you have quick access to the invoice details and can easily request payment, making your workflow efficient and familiar.

The send button on the estimate and invoice views gives you the ability to send the files to the main customer on the job and cc anyone else you would like.

  • The send button will act as the primary action button on your estimate and invoice screens.
  • Clicking this button will allow you to send your estimates and invoices directly to your customers.

Customer Details

The Customer Details widget provides all the essential information about the customer for the current job. The customer's first and last names are displayed at the top and are clickable, linking directly to their profile page for quick access. The widget also includes the service address, contact information (phone number and email), and the primary contact person, if applicable.


Additionally, any special instructions are prominently highlighted in yellow to ensure they stand out and do not get overlooked.


The "View Map" button opens the GPS location in Google Maps for you to view in a separate tab at any time.

The Overview Widget

On the right side, you'll find the Overview Widget. This widget features tabs that allow you to switch between the Overview, Tags, and Messages related to the job. The Overview tab displays a brief excerpt of the job description and scope of work—just a few lines to give you a quick snapshot. To see the full text, simply click on the excerpt, and it will expand to show the complete details.


If you need to make changes, click the pencil icon ✏️ next to the section to enter editing mode for the job description or scope of work. Additional information is also accessible here. To view all the information, click the provided link, and it will open a detailed view for your convenience.


The Tags section allows you to view all tags for this specific job. Here you can add more tags and delete current tags as well. Use this section to help keep your team informed.

Schedule

Let's talk schedule! Our highly popular Schedule is back with a fresh new look. Rest assured, all the functionality you know and love remains intact. While the options to delete, edit, and send reminders may look a little different, their core functions remain the same, ensuring a smooth and familiar workflow.  The new schedule widget enhances your experience by displaying an event type tag for quick identification, along with the time, assigned technicians, and any notes or reminders for each event.


Adding to your schedule is simple: first, click Add to Schedule, then select the day and time of your event, choose the event type, assign employees, and include any notes or reminders. Once done, you're all set!


Have a job you will be doing repeatedly? We’ve got you covered. Check out our new and improved Recurring Jobs functionality. You can now select from a variety of preset time intervals or customize the timeline to your liking! Add technicians, recurring charges, anything else you need.

Charges Widget

The Charges widget is back with a sleek, streamlined interface featuring the familiar tools you rely on. Charges can be reordered, edited, or deleted just like before. Our new widget table system makes it easy to view and manage charge details, including charge type, taxes, price, quantity, and total, all at a glance. The charges widget displays the subtotal, tax, and total charges at the bottom. 


Adding charges is simple and intuitive. Click "Add Charge," then select the item and charge type. You can include a description and specify the quantity of items to be charged. To streamline your workflow, a new button allows you to create and add multiple charges quickly—just keep clicking to add more. If you prefer to add a single charge, you can do that as well, just like in previous versions. Experience a more efficient and user-friendly way to handle charges with our improved widget.


Payments

The best part of a job, getting paid. The Payments widget displays individual payments as collapsible panels that reveal detailed information when expanded. Each panel includes key details such as the payment type, date, receipt or reference numbers, notes, and the payment amount. If a payment has a lengthy description, you can click on the panel to expand it and view the full details. At the bottom of the widget, you'll find a summary section that lists all pending payments, refunds, successful payments, and the remaining balance, which is highlighted in red for easy identification.


To log a payment or payment reminder, click the "Add Payment" button to view your available payment options and send payment reminders. If you are connected to Stripe—which is highly recommended—you can choose to pay with a card, pay via bank transfer, or log a payment manually. You have the flexibility to accept full or partial payments based on your needs. If your customers have received an invoice but haven't paid yet, you can set up automatic reminders by navigating to the Reminders tab. There, you can configure reminders to be sent at your preferred intervals, ranging from every 3 days up to every 60 days. Additionally, you can customize the subject and message of these reminders and decide whether to include the invoice PDF with each reminder.


Notes

The Notes widget retains the same functionality as it did on the previous Jobs page, allowing you to easily add, save, edit, and delete notes with straightforward controls. You can now view the date, time, and employee associated with each note at a glance, providing better context and clarity. To ease navigation through the potentially extensive list of notes, we've added pagination to the widget. You can move between pages using the forward and back buttons, or quickly jump to the first or last page using the respective buttons. This update makes managing and reviewing notes more efficient and user-friendly.

Productivity (aka Allocations)

Streamline Your Revenue-Sharing Arrangements

Our Allocations widget makes managing revenue sharing and commission arrangements a breeze. It automatically calculates percentages, with an optional fixed amount withheld for your business, so you can focus on running your operations smoothly.

Attachments

The Attachments widget displays eight attachments per page, featuring the new pagination described above. You can always see which page you are viewing by the (number of) (total)  at the bottom. In the screenshot above, this is page 2 of 5. By clicking on the Forward and Back buttons, you can view the other attachments. You can still download, edit, and delete attachments, and you have the flexibility to replace or update attachments at any time.


To add an attachment, simply drag and drop or choose a file to upload.

Expenses

You can add all your Expenses for the job here too. Everything from total cost to receipts and even photos. Keep everything organized in one place to make sure you know how much you spent.

Time Tracking

With our new and improved time tracking, you can see not only the amount of time the technician has clocked for the job, but also the time and date of the work. As an admin, you can edit and delete these time entrees at any point within the job process to make sure everything is up to date and correct.

Job Activity

The Job Activity Log in the new interface is a powerful tool designed to maximize  visibility of your job’s workflow. It gives you a comprehensive overview of every action taken throughout the life of the job, including timestamps and the names of employees responsible for each activity. This helps you track progress, identify bottlenecks, and ensure accountability. It’s an essential resource for efficient job management and seamless collaboration. You can now filter to find what you are looking for more effectively. Sort by customer activity, employee activity, or system activity.

Customization

We know Kickserv is used by a wide array of businesses in many fields. While we hope these tools help you run your business, we know not every feature is for you. Kickserv now allows users to hide widgets that they don’t use. With the Job page customization accessible from the More drop-down you can hide and show any widgets you want to see.
