Kickserv and Mailchimp are fully integrated! You can now send your Kickserv contacts to Mailchimp instantly. They will stay in sync, so you can always send out the latest customer communication and marketing campaigns to an up-to-date audience: newsletters, coupons, surveys, review requests, and more!
Group your audience by tags so you can send out information that's pertinent to a particular group. Create elaborate customer journey campaigns or keep things simple. The opportunities are endless.

Getting Started
Click Settings, then Integrations, then Mailchimp. Click the Connect Mailchimp button.

You'll see a Mailchimp login screen. Here, you can create a free Mailchimp account or log in if you already have one.
Note: If you create a new account, select No when it asks you if you have a list of contacts.

Select the Mailchimp audience that should receive your Kickserv contacts.
Click Send all contacts to Mailchimp button to sync existing contacts.
If you want all new contacts added in Kickserv to be automatically synced over to Mailchimp, check the Keep Mailchimp in sync with Kickserv box. (If you don't check this box, you'll need to click that Send all button anytime you want to send new contacts.)
Click Save.

Your contacts will be automatically added to Mailchimp! The first sync might take a few minutes, especially if you have a lot of them, so be patient.

You can now use your Mailchimp account to create and send messages to your Kickserv customers! Learn more about Mailchimp here.
Mailchimp Tags
In addition to sending your contacts to Mailchimp, Kickserv also helps you keep track of your customer lifecycle by using Mailchimp tags.
When a contact is sent from Kickserv to Mailchimp, it gets a tag in Mailchimp that corresponds to the status of the contact. It works as follows:
Contact Has |
Mailchimp Tag |
No opportunities or jobs |
|
Open opportunities only |
|
A won opportunity or completed job |
|
Lost opportunities only |
|
Contacts you deactivate in Kickserv are archived in Mailchimp.
This allows you to send different email messages to certain contacts based on their status in Kickserv. For instance, you might want to send an email to your lost opportunities letting them know about a monthly special or promotion, and an email to current customers regarding your referral program. For more information, see Mailchimp's documentation on tags and campaigns.
Frequently Asked Questions
Does this integration cost anything?
Nope! It's free to all Kickserv customers. A Mailchimp account is free for up to 2,000 contacts. More details at Mailchimp's pricing page.
When I add a new contact or update a contact's email in Kickserv, how long does it take to sync to Mailchimp?
Syncing changes to a single contact typically only takes a few seconds. The initial sync will probably take a little longer (see above).
What contacts are not synced?
If a contact is inactive or does not have an email address, it will not be synced to Mailchimp. If you have older or unused contacts, you can mark them inactive so they don't sync (you should be doing that anyway). You can also archive any unwanted contacts in Mailchimp so they don't count against your quota of contacts.
For now, I only want Kickserv to sync new contacts and updated contacts. Can I do that?
No problem. Just follow these steps when setting up the integration:
-
Check the Keep Mailchimp in sync with Kickserv box
-
Do not click the Send all contacts to Mailchimp button
-
Click Save
You can go back and Send all contacts to Mailchimp at any time you like.
You might also notice that we added a Mailchimp icon to the top right of the Customers list, right next to the import and export icons, so you can send contacts without having to go back to Settings:

I don't want Kickserv and Mailchimp to stay in sync. What if I only want a one-time export of all my existing contacts?
You're probably better off keeping your contacts in sync automatically, but you can do that too. When setting up the integration, follow these steps (which are the exact opposite of the above steps):
-
Do not check the Keep Mailchimp in sync with Kickserv box
-
Do click the Send all contacts to Mailchimp button
-
Click Save
You can click that little Mailchimp icon on the Customers list any time you want to send your contacts to Mailchimp.
If I update a Kickserv contact's email address, will it also update in Mailchimp?
Yes—as long as you checked the Keep Mailchimp in sync with Kickserv box.
What if I want to... archive contacts so they don't count towards my Mailchimp subscription, group contacts by tags so I only send certain things to certain groups, create marketing campaigns, send surveys, ask for reviews...?
Those are all excellent and useful things you can do in your Mailchimp account (and much, much more). If you have questions about Mailchimp features, please contact Mailchimp's excellent support team. They will be happy to help you.
Happy mailing!
